Tips on Controlling your inbox - so it doesn't consume your life.


Here's a helpful article on using email and not letting it take complete control of you.


Email is perhaps the most important productivity tool available – yet its potential as a time waster is well known. It’s essential that you master this critical business tool and make it work of you.
Email is one of the most indispensable collaboration tools for any business. Email has become such an integral part of our lives that we can hardly imagine life without it. Using email is not difficult. Using it effectively, though, is not easy.
Everybody has experienced spam and how unwanted emails clutter up our inbox. Likewise, many of us have overlooked an important message that has gotten lost in an overflowing inbox. However, these are not the only cases when people are using email ineffectively. Here are some tips that will help you use email more effectively:
  • Keep several email accounts. Having only one account means that generally you will be receiving dozens of messages a day, much of which is spam or is otherwise unwanted or unimportant. But even if your spam filters are working properly, you still should have several accounts. For instance, you should have a business company domain and be careful of using this to register or subscribe to services, and you should have another account for personal use with Gmail, Yahoo, MSN or another similar email service.
  • Answer emails quickly. Good communication etiquette requires that you don’t keep people waiting for your reply. While you can’t be expected to answer emails immediately (unless it is an urgent matter, but then you’re better off using the phone), answering within a reasonable timeframe –one business day or less – is acceptable and increasingly expected.
  • Manage your inbox. Even if you have several accounts and each of them is for different kinds of emails, your inboxes still will get cluttered. Managing your inbox effectively is one of the greatest improvements you can make in email use, so you may want to check this article on using email rules for advanced tips on effective inbox use.
  • Use Folders. There are many emails that you want to keep after you have read them. Create a system of folders that makes sense to you so that after you’ve read and responded to an email you can move it out of your Inbox where it will distract you, to a folder where you can find it later if necessary.
  • Distribution lists rules. Spam wouldn’t exist if there were no people who sent it. So, give your contribution to having a world with less spam and do not send unsolicited mails in bulk. Make sure that you are sending your emails only to people who want to receive them. Even better, check that you comply with the provisions of the CAN-SPAM Act of 2003.
  • Do virus checks. Actually, the place for this tip is not near the bottom of the list — but let’s hope that your corporate security policy takes care of this and that you are not solely responsible for protecting your email against viruses and other malware. It might sound obvious that you should do virus checks, but even though email is a primary channel for virus distribution, many people still forget about virus checks. Don’t be one of them.
  • Use advanced email tools. Going beyond the basics is always a challenge and as your experience with email grows, you will discover that it can offer much more than just sending and receiving emails. For instance, many email programs have a calendar function, which you could also use to improve your scheduling and collaboration within your team. Or saving emails that you need to act on later as a Task with a reminder so you can move it out of your Inbox.
Using email is simple, yet in some ways difficult. The more you learn, the more questions you have. However, it’s a business fact of life today that you can’t live without email and you need to master it. - via TechAdvisory

MALWARE = No Fun.

MALWARE:  How does it get in to my network/computer?


Malware is a sneaky little fellow.


Here is a simple analogy. Your daily delivery guy of packages or supplies to the office. You let him into the office on a daily basis. Been doing it for years. 

  • You know him. 
  • You trust him. 
  • Always, most the time,  he/she's smiling. 
  • Delivers packages on time and your glad to see him.



Now one day, when your not paying attention. You see the familiar uniform of the delivery guy. But it's not your regular guy/gal. Their delivering something and you don't know who it's from. He says the regular guy is out this week. 


Well, you get packages all the time from random people. What's the harm.


This is one way  how  Malware get's in. 



  • Looks friendly
  • Act's friendly.
  • But no. Not friendly.



Malware is like not your normal delivery guy. Looks like him, talks like him. But he's not.


Malware is a random program that pops up and usually says: 
You've been infected with a virus! 
Click here to clean up the virus, or Prevent the attack,.(fill in the blank)







This can happen from: someone sending you an email, visiting websites, facebook games.


What happens is the situation get's tense and you want to click something.


Don't. Call your IT provider. The best thing to do is stop, or shutdown your desktop.


Your IT provider should already have prevention methods in-place to help stop this from happening on  a regular basis.

Some Cool Tips That Your Iphone Can Do


It appears like iPhones are capable of doing everything but take out the garbage. Apart from the obvious phone calls, we are able to enjoy the latest movies and TV shows, and update our social sites. They store our music and give us directions to navigate to the nearest shopping center. You may think you understand all your iPhone is able to do but here are a couple lesser-known tricks you will be happy to learn.
Saving Time
It can be frustrating to use the small on-screen keyboard for typing emails or Web addresses. If this is true for you, try turning your phone horizontally before clicking in the area you need to type in. This will give you a larger on-screen keyboard making it easier to type a “t”  and not a “y.”
Here is a tip for making phone calls: If you are browsing the Web for a phone number you need to call, simply tap the number on the screen and your phone will dial it.
More Efficient Typing
This tip from Apple results in speedier typing.  When using the on-screen keyboard tap the space bar twice at the end of a sentence. This will automatically add a period and capitalize the next word you are about to type. If you use a lot of special characters, you can access them by touching and holding a letter. You can then chose the character you want and insert it into the message.
Quick Printing, Personalized Entertainment
If you own an AirPrint-enabled printer, you can print documents, emails, as well as Web pages from your iPhone. To print an email message, tap the Reply icon and then select “Print” and your phone will send the message to your printer. For a Web page, touch the “Action” icon and select “Print.”
It’s simple, too, to build your own customized music playlist. From the iPod app, hit the “Playlists” icon and then tap the “Add Playlist” icon. Give this new list a name, and tap any video or song on your iPhone to add it to his new playlist.

Email Policy: Why your business needs one.

Email is an important and necessary part of your business. It provides an economical and instant means of communicating with staff, customers, and vendors - that's both simple to use and enables increased efficiency. An email policy is required to protect this necessary business tool.

An email policy is a legal document that details your organization's definition of acceptable use for the company email system. It should indicate who emails can be received from or sent to, as well as outline what constitutes appropriate content for work emails.

In additional, having a company email policy will:

Protect the Organization from Liabilities: When all employees read and sign an email policy, it proves they are aware and agree to the information contained in that policy. Should an email be sent that is not considered appropriate content according to the email policy, the employee, not the business, would bear the brunt of liability for any damages or suits brought as a result of their sending an inappropriate email.

Promote a Professional Environment: If email is used only in a professional manner in the workplace, you can be sure that embarrassing mistakes will not occur. For example, if staff are using work email to communicate with friends, the content in those emails are likely to be sloppy, unprofessional, and informal. If those emails accidentally get sent to clients or other professionals - the company image may become damaged. If an email policy does not allow for personal use of the work email system, your staff will remain in a professional mindset and eliminate the potential of personal emails going out to customers.

Increase Productivity: Email tends to be a distraction for employees who are using it for non-professional reasons. If an email policy prohibits the use of work email for personal use, your employees will stay on task more and avoid the distractions that come from sending and receiving personal emails during work hours.

Establish Systems for Email: If the email policy outlines appropriate content for an email sent during work hours over the company email system, it can also help establish systems to ensure all staff members are contributing to the brand or image of the company. Have each staff member use a template for email responses and set up signature lines that appear in all outgoing emails to further establish the company's professionalism and image in the eyes of individuals who may receive email from your staff. Setting guidelines for content and use of email creates a single, comprehensive image of the company that helps keep the organization aligned with its mission.

An email policy is a document that provides your business with certain legal protections involving misuse of the email system by employees. Because it is a legal document, many businesses elect to have a lawyer draw up the email policy, or at the very least, review the policy before it is implemented within the organization. Having a lawyer review or prepare an email policy may seem like an unnecessary upfront cost, but has the potential to save you in legal fees in the future.

Plan, plan, plan...business growth.

If you have not started, now is the time to plant the seeds of growth and prosperity for the this year.

Surround yourself with people that make you and your business... better.

Break down the short term goals/objective:  1-3 mths, 4-7 mths and 8-12 mths goals.

Already, I know this year has been really busy for alot of people, but don't get lazy. Lazy is easy to do.

But we have to stay focused and on the 20% that you think will make the most difference.





Write those items/task down.
Prioritize them.
Put them in your calendar.
Put actual $ figures that you want to accomplish.
List the tasks.
Do the hard work.

The smart survive.
Surround yourself with partners, businesses and friends that have the same mindset as you.
You don't want to hang out with depressing people. Studies have shown that if you take a positive person and subject them to a negative/depressing group on a regular basis, they will become like the group they associate.

This include: friends, financial advisors, CPA's, immediate partners and vendors/contractors.
Change them. It might be hard, but unless you are ready to make change in your business of life, massive change, you are where you are, because you the decisions you made before.

Until or unless you do it,  you don't know how it will change you. Your attitudes change and approach to life changes. You essentially attract like minded people and businesses.

We are setting focused goals. Creating small steps and making the small successes one at a time.

TIps improving your IT investments


How many times have you purchased new software or hardware, and avoided the help menu or user manual?
Experts reason that about 90 percent of all features included with software go unused! Much of this comes down to lack of training for individuals using the technology - they use what they know and need most, and avoid anything that would require study or practice to implement. It's human nature to take the path of least resistance, but with a little motivation you could better benefit from the money spent on technology for your business.

Instead of letting your technology investments continue on underutilized, here are 4 tips for getting the most out of your technology dollars:

1. Put the client in the driver's seat of communication.

You can improve the quality of customer service offered by your company through the use of simple technology. The more connected you are to your clients, the happier they are with your work. Use technology to give your clients a way to initiate discussion with you, either through blog interaction or a discussion forum. Set up instant messaging so clients can contact appropriate staff members as necessary. It's simple technology, but will result in improved client retention, repeat customers and better communication.

2. Create a business culture of continuous improvement.

One of the most amazing aspects of technology is how quickly it is updated and improved. Just when you think you have the best of the best, new technologies and processes are created to improve productivity. Even in the sometimes mundane office environments, new ideas will enhance efficiency and productivity. Encourage staff and consultants to let the new ideas flow - continuous improvement is the key for making the most out of your technology.

3. Take advantage of training opportunities.

If the cost of sending staff to training courses is a bit much, and you're unable to conduct monthly training seminars on your own - consider bringing in vendors and experts whenever a new version of software is released. You can also have managed service providers deliver training virtually as needed, in order to keep your staff up to date with the programs and tools used in the office.

4. Internal email newsletters with tips.

Most businesses recognize the value of sending newsletters to their clients to keep in touch and establish relationships, but what about internal newsletters among staff members? Send a weekly email to your staff with a single technology tip that explains how to do something that will improve their productivity or make their lives a little easier. Keep it fun and add a cartoon or a quick quiz to keep the staff looking forward to their weekly newsletter. Your ideas for topics can come from training and seminars you attend, or from questions staff ask the IT department. If one person doesn't understand something, there are probably a few others who also don't understand - but aren't speaking up about it.

Look at Cloud for some of your resources:
  • ü  HR applications – inexpensive and optimized for HR
  • ü  Disaster Recovery solution – must have and sometimes business insurance requires it.
  • ü  Hosted Email – inexpensive and can be very reliable
  • ü  Repetitive process consolidation – you’re not the only one having this issue.
  • ü  Consider a solid VOIP phone system that is proven. Can save $100’s per mth


Look at your current IT and Security Policies:
  • ü  Do you have one? (Letting users know the restrictions of IT and violations- no illegal music, websites)
  • ü  Put productivity stop gaps in place: Manage bandwidth of users that are “bandwidth hogs”
  • ü  Keep your IM(instant office messaging ) to only in-house solutions: if you use AIM or Gchat, watch out.
  • ü  Does your current IT Staff or company check your firewall policies? Do you get a report
  • ü  Are you using the Sharepoint services (sometimes  free) within your company? It’s a free Intranet where a company can centralize information, documents, forms, company notices, updates – did I say FREE?.

Hold the IT department accountable:
ü  If users cannot do basic functions:
o   Print to copier
o   Use the phones system correctly
o   Having to email documents back and forth because the “shared drive” does not work
o   Email keeps on filling up the inbox and has to delete
o   Server keeps on shutting off.
o   No access to files from remote.
o   Constantly being told NO buy your IT staff or current consultants
Your infrastructure is using so many different technologies, that they cannot easily explain it.
These are excuses – have the IT department  bring in outside support to resolve those issues or outsource your IT to help clean it up.

We are amazed on how some people have over 150k emails and 90k are not even read. How their mailboxes are up to 24 gb in usage(24gb is really high)
